The Billing Manager is responsible for:
- The day-to-day running of the billing function across the Reading clinic and other Forbury clinics as they expand.
- Line managing the finance team, fostering a collaborative, high-performing and forward-thinking culture
- Working alongside the Clinic Manager and Lead Nurse to ensure all services are billed accurately, efficiently, and in a timely manner
- Supporting the growth of the organisation by developing and replicating robust billing processes across multiple sites.
Knowledge, Training & Experience Required
- Minimum 5 years’ experience in billing within the private healthcare sector
- Strong understanding of private medical insurance processes and self-pay billing
- Experience liaising with insurers and understanding tariff structures
- Proven experience in staff management and team development
- Excellent interpersonal and organisational skills
- Ability to work under pressure while maintaining accuracy and attention to detail
- Proactive mindset with the ability to identify improvements and implement change positively
- Strong analytical skills with the ability to interpret and utilise data to improve performance
- Advanced Excel skills and confident use of MS Office and web-based systems
- Experience with Semble is desirable but not essential

- Maintain strict patient and commercial confidentiality at all times
- Ensure compliance with all data protection regulations and company policies
Specific Tasks
Management of Staff
- Oversee the efficient day-to-day operation of the billing department
- Line manage the finance team, including inductions, training, performance management, and development
- Conduct regular 1-2-1s, set objectives, and monitor performance
- Delegate workloads effectively to ensure deadlines and accuracy standards are met
Billing Function & Development
- Ensure and contribute to accurate and timely billing for all services, including insured and self-pay patients
- Monitor billing workflows to identify inefficiencies and implement improvements
- Develop and standardise billing processes to support scalability across multiple sites
- Support the setup and implementation of billing functions in new clinics
- Responsible for all credit control.
- Work alongside the Managing Director and Finance Manager to review and improve billing performance
- Liaise with insurers to negotiate and review tariffs on an annual basis
- Contribute to financial reporting and performance tracking
- Work collaboratively with the Clinic Manager and Lead Nurse to ensure clinical activity is captured and billed correctly
- Liaise with administrative teams to ensure smooth patient pathways and accurate data capture
- Support cross-site consistency in billing processes and standards
IT and Systems
- Ensure effective use of systems such as Semble
- Identify opportunities to improve systems and reporting capabilities
Other
- Independently handle billing-related queries and escalations efficiently and professionally
- Act as part of the wider management team to support business growth and operational improvements
- Contribute ideas and strategies to improve efficiency, accuracy, and scalability of the billing function
- Ensure the billing department operates in line with the company’s vision and values
