Clinical Admin/ Healthcare Assistant Role Description

This Fantastic Plastic Surgery Clinic is seeking a full-time, Hybrid Clinical Admin/ Healthcare Assistant based in the London Area, United Kingdom. This is a varied and rewarding dual role, suited to a motivated individual who is comfortable working across both administrative and clinical settings. The post holder will primarily provide administrative support to the practice, including responsibilities relating to CQC compliance and patient coordination, while also assisting clinical staff with hands-on healthcare duties in the clinic.

Key Responsibilities: Administration (70%)
  • Maintain and manage CQC-related documentation, policies, and compliance records, supporting the practice in meeting regulatory standards.
  • Act as a key point of contact for patient enquiries, handling telephone, email, and face-to-face communication in a professional and empathetic manner.
  • Coordinate patient appointments, referrals, and follow-up correspondence, ensuring smooth and timely patient journeys.
  • Process and manage patient records accurately in line with data protection legislation and practice protocols.
  • Support the management team with general administrative duties including filing, reporting, and updating databases.
  • Assist in preparing for and following up on audits, inspections, and governance reviews.


Key Responsibilities: Clinical (30%)
  • Assist clinical staff during consultations and procedures, ensuring a safe and comfortable environment for patients.
  • Undertake HCA duties including but not limited to observations (blood pressure, temperature, oxygen saturation), phlebotomy, wound care, and ECGs as directed.
  • Prepare and maintain clinical areas, ensuring they are clean, stocked, and ready for use.
  • Maintain accurate clinical records in line with professional standards and practice protocols.
  • Chaperoning patients during examinations and procedures as required.


Person Specification
  • Previous experience in an administrative or healthcare environment.
  • Strong organisational skills with the ability to manage competing priorities.
  • Excellent communication skills, both written and verbal.
  • Proficient in the use of Microsoft Office and patient record systems.
  • Understanding of confidentiality and data protection requirements.
  • Ability to work both independently and as part of a team.
